Apply for Invitation Letter guidelines

A Letter of Invitation is proof that your submitted paper and registration application are accepted by the organizing committee of the conference CPOTE2022. The letter will be stated in English and may help with your visa application. However, it does not guarantee you a visa.

Invitation letters will only be issued once your registration and payment have been completed. Invitation letters will be available in the conference system within 14 days from your application.

The following data is needed to issue the Invitation letter:

  • First and last name
  • Date and place of birth
  • Citizenship
  • Travel document (passport) number
  • Date of issue of travel document (passport)
  • Travel document (passport) valid until
  • Period of the intended stay in Poland (exact dates)
  • Accommodation during the intended stay in Poland
  • Institution/person who will cover the cost of traveling and living during the participant's stay

For those who require a visa, please note that the organizing committee has no control over the visa application process or the decision of the visa adjudicator in the embassy or consulate. The conference cannot be responsible for actual visa issuances. The process length varies from individuals; you are strongly advised to start your application as soon as you can. The participants are strongly advised to start the visa procedure by filling in the above-stated data through the 'Apply for visa' online form, which is available in conference system after login LINK to 'Apply for Visa'.

Please note that the organizing committee of the conference cannot issue Invitation letters to accompanying persons and that the Invitation letter can be issued only for the duration of the Conference.

Should your application be denied, organizing committee cannot change the decision of the Ministry of Foreign Affairs, nor will engage in discussion or correspondence with the Embassy on behalf of the applicant.
